Terms and Conditions

1. Pricing and VAT

  • All quoted prices are inclusive of 18% VAT as per Tanzanian tax regulations.
  • An EFD (Electronic Fiscal Device) receipt will be issued upon payment, ensuring full compliance with Tanzanian Revenue Authority (TRA) requirements.

2. Scope of Service

  • The Paytan installation service includes:
    • Full installation of the payroll software on a single computer.
    • Initial setup and configuration to meet the client’s business requirements.
    • Basic training for designated staff on software usage and key features.
  • Additional installations on extra devices will incur additional charges.

3. Payment Terms

  • Payment must be made in full before the installation process begins unless otherwise agreed in writing.
  • Payment methods accepted include bank transfer, mobile money, or cash.

4. Warranty

  • A 12-month warranty is provided, starting from the date of installation.
  • The warranty covers:
    • Software functionality issues directly related to the installation process.
    • Technical support for resolving software-related errors.

5. Support and Maintenance

  • After the warranty period, additional technical support can be provided at an agreed-upon rate.
  • Updates and upgrades to Paytan software will be available as per licensing agreements.

6. Cancellation and Refunds

  • Cancellations made prior to installation will be eligible for a full refund.
  • Once installation has commenced, refunds will not be issued.

7. Client Responsibilities

  • Clients must ensure their computer system meets the minimum requirements for installing Paytan software.
  • It is the client’s responsibility to back up existing data before the installation process begins.

8. Liability

  • Royal Company Limited will not be liable for any data loss or hardware damage during the installation process, as clients are advised to back up all data beforehand.

9. Governing Law

  • These terms and conditions are governed by the laws of Tanzania. Any disputes will be resolved under Tanzanian jurisdiction.

DEMO Paytan

1. Adding New Employees

a. Access Employee Menu:

  • Navigate to the main menu and select ‘EMPLOYEE’.


b. Select Background Modify:

  • Highlight the submenu ‘Background Modify’ and click on it. This will open a form for entering employee details.

c. Enter Employee Details:

  • Type the Employee ID Number and fill in the remaining fields with the employee’s particulars.
  • Save the data.

d. Amend Existing Information:

  • To update information for an existing employee, enter the Employee ID Number and make the necessary changes.
  • Save the updated information.

e. Repeat Process:

  • Continue this process until all new employees have been entered into the system.
  • Use the same routine for any amendments to employee details.

2. Entering/Modifying Salary Information

a. Access Salary Modify Menu:

  • Go to the ‘EMPLOYEE’ submenu ‘Salary Modify’ and click on it.

b. Enter Employee ID Number:

  • When prompted, type the Employee ID Number and press Tab.

c. Update Salary Information:

  • Modify fields such as Basic Pay, NIC, and other salary-related information as needed.
  • Provide the following:
    • Bank Name
    • Account Number
    • Maximum Amount (use the code 999999999).
  • Save the updated salary information.

d. Amend Existing Salary Information:

  • To amend salary details for an existing employee, enter the Employee ID Number, make the required changes, and save.

3. Preparing Payroll

a. Open Paytan Program:

  • Double-click the Paytan icon and enter the password to access the main menus.

b. Display Submenus:

  • Press Enter to display the submenus under the highlighted main menu.

c. Create/Modify File:

  • Go to the ‘Monthly’ submenu and ensure the ‘Create/Modify File’ option is highlighted. Press Enter.


d. Enter Payroll Month:

  • Input the payroll month in the format MMYY (e.g., 1024 for October 2024) and press Enter.
  • Press Tab to select the method of index (IDNO).

e. Make Changes to Employee Records:

  • In the ID NUM field (default value is 0), enter the employee number and press Tab.
  • Navigate to the field you wish to change by pressing Tab, make the updates, and save.
  • Repeat for other employees.

f. Compute Payroll:

  • Highlight the ‘Compute’ submenu and press Tab.
  • Enter the payroll month (e.g., 1024 for October 2024) and press Tab to calculate payroll.

4. Generating Reports

a. Pay Slip:

  • Go to the ‘Reports’ menu.
  • Select ‘Payslip’, enter the desired month and year, and press Tab to generate the payslip.

b. Payroll Summary:

  • Navigate to ‘Reports’, highlight ‘Summary’, and enter the month and year.
  • Generate the payroll summary.

c. Cash/Bank Report:

  • In the ‘Reports’ menu, select ‘Cash/Bank’ and press Enter.
  • Choose ‘Cash Payments’ from the submenu.
  • Type ‘y’ in the signature field to print a list of employees and their net pays.


d. Deductions Report:

  • Access the ‘Reports’ menu and press Enter.
  • Highlight the ‘Deductions’ submenu, choose the deduction type (e.g., NSSF, PAYE, SDL, etc.), and press Enter to generate the report.
